The Office Coordinator serves as key person in office operations. Provides excellent customer service to both callers and visitors to the agency. Ensures building and equipment are maintained and when needed reports problems or issues. Performs administrative duties as needed. Assists with special projects and/or clerical processes as needed. Assists with the operational needs of the office to ensure clinical care delivery is maintained. Works with on-site venders for medical waste and shredding with a focus on efficient office operations for smooth clinical care and support.

The Office Coordinator is an integral member of the agency team and is key in the smooth operation of the office. The Office Coordinator also provides excellent customer service to all callers and visitors and interacts courteously and effectively with all co-workers and customers in order to facilitate the provision of patient care and related activities.

Essential Functions

  • Contributes to the smooth functioning of Home Health Foundation in the provision of services by screening calls discreetly to determine who will most appropriately provide assistance to each caller.
  • Manages PPE distribution per agency procedure as needed.
  • Maintains patient records as needed, attaching electronic documents to the EMR, ensuring all paperwork is collected and sent via courier to main medical records office for processing
  • Assists with administrative duties including reports, making copies, typing, filing, and delivering any urgent items to the main office as needed.
  • Acts as contact for building and equipment needs, including housekeeping, coordinates service and venders are handled and reports to facilities manager as needed. Performs safety rounds and reports any issues to supervisor or site director if urgent issue.
  • Performs clinical scheduling functions such  as prescreening calls, reviewing scheduling coordination notes and assigns admissions following scheduling procedure.

Position Type/Expected Hours of Work & Travel

This is a full-time day position working Monday through Friday. This position may be required to rotate and/or cover additional shifts including but not limited to evenings, weekends, and six major holidays as needed.

Qualifications

  • 1-3 years customer service experience required.
  • High school diploma or GED required.
